Tuscany Trail 2027 — Official dates

• Event window: 19–25 May 2027
• Packet pick-up and starts: 19, 20, 21 May 2027 in Campiglia Marittima (LI)

Art. 1 – Registration

The gathering is open to all people of any nationality who have turned 18 by the time of registration.

Art. 2 – Membership

The Tuscany Trail is an event reserved exclusively for members of Bike Soul SSDrl.

Anyone who is not a member of that sports association becomes one at the time of registration for the event.

The Organisation may at any time, at its sole and unquestionable discretion, decide whether or not to accept a registration, or exclude a registered participant from the event, should that participant be liable to damage its reputation.

Art. 3 – Medical certificate

All participants are REQUIRED to provide the Organisation with a valid medical certificate of fitness for cycling (Competitive Medical Certificate for Cycling) issued by a Sports Medical Centre or by a doctor. The medical certificate must expire after 30 June 2027 and must be uploaded after registration.

The medical certificate must be uploaded to the website www.bikeadventureseries.com, through the area called “My account”, https://bikeadventureseries.com/my-account/. The expiry date of the medical certificate must also be specified.

Should the medical certificate not be compliant, it will be rejected and cancelled, and the registrant must submit a new compliant one by 15 April 2027.

The Competitive Medical Certificate must be specific to CYCLING. We cannot accept medical certificates issued for other sporting disciplines such as triathlon, athletics, etc.

Anyone who does not comply with this requirement will not be considered properly registered and is not entitled to a refund of the registration fee.

Each participant must declare, pursuant to Italian Presidential Decree no. 445 of 28 December 2000, that the documents they have submitted are truthful and correspond to the originals in their possession.

Art. 4 – Route and track

The route starts in Campiglia Marittima (LI) and ends in Campiglia Marittima (LI). The route is approximately 460 km long. The track runs on gravel roads, single track and paved roads.

The Organisation will provide all participants with a .gpx track of the route to follow to the finish, but please note that, at any time and for any reason connected with safety, as well as with traffic and road conditions, including roadworks, diversions, prohibitions and any other unforeseeable situation that may be encountered along the track we have provided, everyone is free, at their own discretion, to leave the track and rejoin it as soon as those critical conditions have ceased and safety is assured again. It is therefore possible to deviate from the track provided at any time and rejoin it later, using alternative roads at one’s own discretion, if conditions so require.

The Organisation reserves the right to modify the route up to a few days before the start.

Art. 5 – Start and packet pick-up

Event dates and place of start: 19, 20 and 21 May 2027 from Viale della Fiera, 3/B, 57021 Campiglia Marittima (LI).

At the time of registration, choose the day and time slot for packet pick-up: morning or afternoon, for each of the three available dates. Each slot has limited places.

Once you have collected your accreditation packet you may start immediately or on the following day. Precise times will be communicated in the digital guide.

Art. 6 – Compliance with traffic laws

The Tuscany Trail is a FREE-RIDE EXCURSION on gravel roads, trails and paved roads; the entire route is always open to traffic and all participants are therefore required to comply with the Italian Highway Code. It is also mandatory to carry a repair kit for mechanical faults and punctures.

Art. 7 – Nature of the event – warning

All participants must:

be physically prepared

have off-road riding skills

have a spirit of adaptability

have a good working knowledge of GPS use and basic navigation

In the spirit of bikepacking, any kind of external support is forbidden (except, of course, in an emergency).

Art. 8 – Mandatory kit

For their own personal safety, in an emergency or if they lose the route, every participant is required to carry with them, for the whole duration of their adventure, the following minimum safety equipment:

• reflective vest
• whistle or bell
• mobile phone
• approved helmet, to be worn at all times
• white front light and red rear light

Art. 9 – Registration and participation fee

Registration opens: 3 December 2026. Places are limited. From 1 November 2026 an early registration window is open through a Bundle with a second BAS event.

Operational notes on any shipping of the event packet, and the related terms, will be communicated in the digital guide.

Art. 9.1 – Identification and access to Base Camps and private property.

To ensure safety and regulated access, participants are required to wear the identification wristband for the entire duration of the event. This device serves as the access credential for private areas, base camps and private property along the route. Regular checks will be carried out to verify the correct use of the identification wristband.

Base camps are managed by the local municipal authorities. Access is guaranteed to all registered participants, within the capacity of the facilities.

Art. 9.2 – Specialist consultancy service

The personalised consultancy service, lasting 60 minutes, is accessible through a dedicated link that will be provided to participants who have chosen the “No Stress” option. Bookings can be made up to 30 days before the event. Changes to bookings are allowed up to 72 hours before the scheduled appointment, after which the service will no longer be available. Calls are held in Italian or English.

Art. 10 – Validity of registration

Registration may be considered properly valid only after the electronic registration procedure has been completed, with the corresponding electronic payment credited to the organiser, and after submission of the medical certificate, which must be uploaded by 15 April 2027 within the My Account section.

The Organisation may, at any time and at its sole and unquestionable discretion, without any obligation to give further reasons, decide whether or not to accept anyone’s registration.

Art. 11 – Substitution and withdrawal from participation

With reference to the Event, it is not possible to request the substitution of a participant once registered. Should a registered participant not take part in the event, the participation fee will not be refunded under any circumstances and the event packet will not be shipped.

Art. 12 – Cancellation or postponement of the event

Cancellation – If, due to force majeure such as, for example, pandemics or war, the event cannot take place, the amount paid at the time of registration will not be refunded, but the participation fee alone will be considered valid should registration for the following edition be requested. The Organisation will also be entitled to a contribution towards insurance costs of €14.00 for carrying the registration over to the following year. The request to register for the following year and the payment of the administrative contribution must be made by the date indicated by the Organisation after the event is cancelled.

Postponement – Furthermore, due to force majeure or other serious reasons, such as, for example, pandemics or war, which put at risk the preparation of the event or participation in it by no fewer than half of those registered, the Organisation reserves the right to move the location and/or the date of the event within the same calendar year. In that case the registration fee paid will be valid for the event on the rescheduled date, at no additional cost to those registered. In this case the registration cannot be carried over to the following year’s edition.

Art. 13 – Variations

In the event of new environmental and/or health circumstances arising, and/or of changes to the regulatory framework, the Organisation reserves the right at any time to make the consequent reasonable variations to these rules. The official website of the event, where these rules are published, is the sole reference for information about the event. Any different content in previous newsletter communications, in the press or on social media may not therefore be relied upon.

Art. 14 – Approval, consent, authorisation, etc.

By applying to take part in the Tuscany Trail, at the time of registration each participant:

• Declares that they have read and approved these Rules and that they accept them in full;
• Stands as guarantor of their own conduct during and after the event;
• Declares that they are in good physical condition and have provided the Organisation with a valid medical certificate after undergoing a medical examination of fitness for cycling (Competitive Medical Certificate for Cycling), granting the Organisation the fullest release from liability for any harm they may suffer as a consequence of their participation in the event;
• Declares that they are aware that the event in which they are taking part is a non-competitive event without rankings;
• Declares that they are aware that no medical, food or mechanical assistance service is provided by the organisers of the cycling event known as the Tuscany Trail;
• Declares that they are aware that there is no recovery service for those who abandon, nor are the organisers under any obligation to search for participants along the route;
• Declares that they are aware that the Organisation is under no obligation to marshal the roads crossed by participating cyclists;
• Declares that they are aware that the participation fee will not be refunded under any circumstances;
• Declares that they are experienced and aware of the possibility of encountering adverse weather conditions, and that they are able to navigate and ride in hilly and mid-mountain terrain in such conditions;
• Declares that they are aware that the organiser “Bike Soul SSDrl” is not a professional organising body, but acts solely for recreational and non-pecuniary purposes (Article 1174 of the Italian Civil Code); and that participation in the Tuscany Trail therefore always takes place by free choice and for recreational, in any case non-pecuniary, purposes. It follows that the aforementioned organising SSDrl bears no liability, and is in any case released from all liability, connected with the Tuscany Trail excursion. It is likewise released from any liability regarding events befalling the cyclist during the Tuscany Trail, such as, for example: accidents, losing the route, physical problems, crashes, theft, etc. It follows that the Tuscany Trail cycling excursion is to be understood as a mere gathering, spontaneous and independent, of cycle tourists and amateur cyclists on a free and personal excursion; and that, purely in a spirit of hospitality and courtesy, without the requirements of Articles 1174 et seq. of the Italian Civil Code, the aforementioned organising SSDrl may set up one or more refreshment points for participants, subject to voluntary contribution, which the cyclist undertakes to pay before undertaking the Tuscany Trail cycling excursion;
• Declares therefore that the cyclist taking part in the Tuscany Trail cycling excursion waives any legal action on any grounds against the aforementioned organising SSDrl, acknowledging that it is a non-professional association acting for recreational purposes lacking the requirements of Article 1174 of the Italian Civil Code;
• Gives consent to the use of their data, including for commercial purposes, in accordance with the Italian consolidated privacy act no. 196 of 30/06/2003 and with European Union privacy Regulation 2017/679 (GDPR/18);
• Grants the organisers the fullest consent to the use, in the ways permitted by law and including for profit, of any video or photographic image of them taken during the days of the event, granting the Organisation the right to transfer such images to third parties. That authorisation to use their image is to be understood as granted for an indefinite period and without territorial limits worldwide, for use in various publications and films, including, by way of example and without limitation, promotional and/or advertising material produced on any medium. The Organisation may also transfer to third parties and to its institutional and commercial partners the usage rights provided for in this agreement. The Organisation declines all liability, for itself and its collaborators, for accidents or damage to people or property that may occur before, during and after the event or as a result of it.

Art. 15 – Processing and recording of personal data

The processing and recording of personal data will be carried out by the following company:

The personal data of all participants will be processed and recorded in accordance with the Italian consolidated privacy act no. 196 of 30/06/2003 and with European Union privacy Regulation 2017/679 (GDPR/18).

Having read the privacy notice, with the user’s consent Bikesoul SSD will communicate personal data to AdventureLab srl for their marketing purposes.

We inform you that your personal, identifying and contact data, acquired by Bikesoul SSD and collected by it during the Tuscany Trail 2024 event, are processed with your consent by ADVENTURELAB srl (hereinafter also the Partner), as Data Controller, in order to contact you for commercial information purposes by means of communication techniques (paper and electronic mail, calls with or without an operator, fax, SMS, MMS, and other distance communication techniques, messages through social media or web applications).

You may find out which of your data are processed at the Partner and, where the conditions apply, exercise the various rights relating to their use (right of access, rectification, updating, integration, erasure, restriction of processing, portability, withdrawal of consent to processing, and to obtain a copy of your data where it is stored in countries outside the European Union, as well as to obtain an indication of the place where such data is stored or transferred), as well as object on legitimate grounds to a particular processing of them and in any case to their use for commercial purposes, in whole or in part, including as regards the use of automated methods, by contacting: [email protected] or the Data Protection Officer (DPO), who can be contacted by e-mail at “[email protected]. We also inform you that, should you consider the processing of your data to be inconsistent with the consents you have expressed, you may lodge a complaint with the Italian Data Protection Authority, in the manner indicated on the Authority’s own website.

Your data will be stored in accordance with the privacy legislation applicable from time to time, and in any case for no longer than 24 months from the moment of collection.

Your data will not be disseminated and will be processed using appropriate methods and procedures, including computerised ones, by our employees, collaborators and other parties, including external ones, designated as Data Processors or otherwise acting as Data Controllers, who are involved in managing the relationships in place with you or who perform tasks of a technical, organisational or operational nature on our behalf.
