The Tuscany Trail is a non-competitive cycling gathering that takes place on dirt roads, trails, and mule tracks, exclusively reserved for members of Bike Soul SSDrl (hereinafter also referred to as the event or improperly as a race or adventure).

Art. 1 – Registration

All persons who have reached the age of 18 at the time of registration, regardless of nationality, are eligible to participate in the gathering.

Art. 2 – Membership

The Tuscany Trail is an event exclusively reserved for members of Bike Soul SSDrl.

Anyone who is not a member of the aforementioned sports club will become one upon registration for the event.

The Organization may, at any time and at its sole discretion, decide whether to accept or reject a registration or exclude a registered participant from the event if it could harm the event’s image.

ART. 3 – Medical Certificate

For all participants, it is MANDATORY to present a medical certificate for cycling activities (Agonistic Medical Certificate for Cycling) in accordance with DM 24/04/2013, issued by a Sports Medical Center or a Doctor, valid at the time of the event. The medical certificate must expire after June 30, 2025, and must be uploaded after registration.

The medical certificate must be uploaded on the website www.bikeadventureseries.com through the “My account” section at https://bikeadventureseries.com/my-account/. The expiration date of the medical certificate must also be specified.

If the medical certificate is not compliant, it will be rejected and deleted, and the participant will need to submit a new compliant one by April 15, 2025.

The Agonistic Medical Certificate must be specifically for CYCLING. We cannot accept medical certificates issued for other sports disciplines such as triathlon, athletics, etc.

Anyone who does not comply with this requirement will not be considered duly registered and will not be entitled to a refund of the registration fee.

Each participant must declare, in accordance with D.P.R. n. 445 of December 28, 2000, that the documents they submit are truthful and correspond to the originals in their possession.

Art. 4 – Route and Track

The route starts in Campiglia Marittima (LI) and ends in Campiglia Marittima (LI). The route is approximately 470 km long. The track includes dirt roads, single tracks, and paved roads.

The organization will provide all participants with a .gpx track of the route to follow until the finish line, but it should be noted that, at any time and for any safety-related reason, as well as traffic and road conditions, including road works, detours, prohibitions, and any other unforeseeable situation that may be encountered along the provided track, everyone is free, at their own discretion, to leave the track and resume it once these critical conditions have ceased and safety is once again ensured. Participants are therefore free to deviate from the provided track at any time and then rejoin it later, using alternative routes at their discretion if the conditions require it.

The organization reserves the right to modify the route until a few days before departure.

Art. 5 – Collective Departure

Event date and starting point: during the registration process, you can choose to start on May 21, 22, or 23, 2025, from Viale della Fiera, 3/B, 57021 Campiglia Marittima (LI).

You must choose the departure date at the time of registration. The date is binding and cannot be changed.

If you choose Wednesday, May 21, you can collect the package on Wednesday afternoon or Thursday morning, May 22.

If you choose Thursday, May 22, you can collect the package on Thursday afternoon or Friday morning, May 23.

If you choose Friday, May 23, you can collect the package on Friday afternoon, May 23.

The times will be indicated to participants in the digital guide.

Art. 6 – Respect for Traffic Regulations

The Tuscany Trail is a LEISURE WALK on dirt roads, trails, and paved roads; the entire route will always be open to traffic, and therefore all participants must comply with the Traffic Code. It is also mandatory to have a kit for repairs and punctures.

Art. 7 – Event Characteristics – Warning

All participants must:

  • be physically prepared
  • have off-road riding skills
  • be adaptable
  • have a good knowledge of GPS use and basic navigation

In the spirit of bikepacking, any form of external support is prohibited (except in cases of emergency).

Art. 8 – Mandatory Kit

For personal safety, in case of an emergency or getting lost, each participant is required to carry the following minimum safety equipment for the entire duration of their adventure:

  • Reflective vest
  • Whistle or bell
  • Mobile phone
  • Certified helmet to be worn at all times
  • White front light and red rear light

Art. 9 – Registrations and Participation Fee

Registrations open: December 3, 2024, at 11:00 AM

Registrations close: January 31, 2025, or upon reaching the maximum number of participants: 5000.

“No Stress” Ticket

Participants with the “No Stress” ticket who are unable to attend the event and communicate it can request the event package to be shipped to their address (except for the bottle of wine) for an administrative fee of €22 to cover handling and shipping costs. The shipment will be processed after the conclusion of the event. To activate this service, they must write by June 10, 2025, to [email protected].

Art. 9.1 – Identification and Access to Basecamps and Private Properties

To ensure safety and regulated access, participants are required to wear the identification bracelet for the entire duration of the event. This device serves as a credential for access to private areas, basecamps, and private properties along the route. Regular checks will be carried out to verify proper use of the identification bracelet.

The management of basecamps is handled by the local municipal administrations. Access is guaranteed to all registered participants, subject to the capacity of the facilities.

Art. 9.2 – Specialized Consultation Service

The personalized consultation service, lasting 60 minutes, is available via a dedicated link that will be provided to participants who have chosen the “No Stress” option. Appointments can be booked up to 30 days before the event. Changes to appointments are allowed up to 72 hours before the scheduled appointment, after which the service will no longer be available. Calls are conducted in Italian or English.

Art. 10 – Validity of Registration

Registration is considered valid only after the electronic registration process is completed, the payment amount is credited to the organizer, and the medical certificate is uploaded by April 15, 2025, in the “My Account” section.

The organizers reserve the right, at any time and at their sole discretion, without any obligation to provide further explanation, to decide whether or not to accept anyone’s registration.

Art. 11 – Substitutions and Cancellations

Regarding the event, it is not possible to request the substitution of a participant once registered. If a registered participant does not attend the event, the participation fee will not be refunded under any circumstances, nor is there provision for shipping the event package.

Art. 12 – Event Cancellation or Postponement

Cancellation – If, for reasons beyond control such as pandemics or wars, the event does not take place, the amount paid at the time of registration will not be refunded, but only the participation fee will be considered valid if a request is made to register for the following year’s edition. The organizers will also be entitled to a contribution for insurance expenses amounting to €14.00 for postponing the registration to the next year. The request for registration to the following year and the payment of the administrative fee must be made by the date indicated by the organization after the event is canceled.

Postponement – Moreover, for reasons beyond control or other serious reasons, such as pandemics or wars that jeopardize the event’s preparation or participation by at least half of the registrants, the organizers reserve the right to change the event’s location and/or date within the same calendar year. In this case, the registration fee will be valid for the rescheduled event without additional costs for the registrants. In this case, it is not possible to postpone registration to the following year’s edition.

Art. 12 – Changes

Due to new environmental and/or health circumstances and/or changes in the regulatory framework, the organizers reserve the right to make reasonable changes to the regulations at any time. The official event website where this regulation is published is the only point of reference for information about the event. Therefore, any different content from previous communications via newsletters, press, or social media cannot be invoked.

Art. 13 – Approval, Consent, Authorization, etc.

By requesting to participate in the Tuscany Trail, each participant, at the time of registration:

  • Declares that they have read and approved these Regulations and accept each part of them;
  • Vouches for their behavior during and after the event;
  • Declares to be in good physical condition and to have submitted a valid medical certificate after undergoing a medical examination for cycling activities (Agonistic Medical Certificate for Cycling), giving the organizers the broadest indemnity for any harm they may suffer as a result of their participation in the event;
  • Declares to have acknowledged that the event they are participating in is a non-competitive event without rankings;
  • Declares to be aware that no health, food, or mechanical assistance services are provided by the organizers of the cycling event called Tuscany Trail;
  • Declares to be aware that there is no recovery service for those who withdraw, nor are the organizers obliged to search for participants along the route;
  • Declares to be aware that there is no obligation on the part of the organizers to supervise the roads traveled by participating cyclists;
  • Declares to be aware that the participation fee will not be refunded under any circumstances;
  • Declares to have experience and to be aware of the possibility of encountering adverse weather conditions and to be able to navigate and ride in hills and medium mountains in such conditions;
  • Declares to be aware that the organizing company “Bike Soul SSDrl” is not a professional organizing entity, but acts solely for recreational and non-profit purposes (Art. 1174 Civil Code); therefore, participation in the Tuscany Trail is always voluntary and for recreational, non-profit purposes. Consequently, the aforementioned organizing SSDrl is exempt, and in any case released, from any liability related to the Tuscany Trail excursion. It is also released from any liability concerning events that may occur to the cyclist during the Tuscany Trail, such as: accidents, getting lost, physical issues, incidents, theft, etc. Therefore, the Tuscany Trail cycling excursion is to be understood as a mere spontaneous and independent gathering of cycle tourists and cycling enthusiasts on a free and personal excursion; – that purely for hospitality and courtesy, without the requirements of Art. 1174 et seq. of the Civil Code, the aforementioned organizing SSDrl may organize one or more refreshment points for participants, subject to a voluntary contribution, which the cyclist agrees to pay before undertaking the Tuscany Trail cycling excursion;
  • Declares that, therefore, the cyclist participating in the Tuscany Trail excursion waives any legal action against the aforementioned organizing SSDrl, recognizing that it is a non-professional association that acts for recreational purposes without the requirements (Art. 1174 Civil Code);
  • Expresses consent to the use of their data, also for commercial purposes, as provided by the Privacy Act No. 196 of June 30, 2003, and the European Union Privacy Regulation 2017/679 (GDPR/18);
  • Grants the organizers the broadest consent to use, in ways permitted by law, including for profit, any of their video or photographic images taken during the event, granting the organization the right to transfer such images to third parties. The aforementioned authorization for the use of one’s image shall be understood as granted for an indefinite period and without territorial limits worldwide, for use in various publications and films, including, but not limited to, promotional and/or advertising materials produced on all media. The organizers may also transfer the rights of use provided for in this agreement to third parties and institutional and commercial partners. The organization disclaims all responsibility for itself and its collaborators for accidents or damage to persons or property that may occur before, during, or after the event or as a result thereof.

Art. 14 – Processing and Registration of Personal Data

We inform you that your personal identification and contact data, acquired by Bike Soul SSD and collected during the Tuscany Trail 2024 event, are processed with your consent by AdventureLab srl (hereinafter also referred to as “the Partner”), as Data Controller, to contact you for commercial information purposes using communication techniques (mail, electronic mail, calls with or without an operator, fax, SMS, MMS, and other distance communication techniques, messages via social media or web applications).

You can know what data is processed by the Partner and, where applicable, exercise your various rights related to its use (right to access, rectify, update, integrate, delete, limit processing, data portability, revoke consent to processing, and obtain a copy of your data when stored outside the European Union, as well as obtain information on where such data is stored or transferred).
